Households, Minors, and Who Receives Program Emails

Youth programs raise a natural question: when a child is registered for a class, who should receive the emails? This article explains how the integration handles children, households, and the adult who should be contacted — and where a small configuration step may be needed.

Children are protected from direct email

Members below the contact age threshold are intentionally not created as HubSpot Contacts. A young child exists in HubSpot only as an SGA Member record, never as an emailable contact — so marketing email is never sent directly to a young child.

Members at or above the threshold do become their own Contact, with their own email identity. Keep this in mind for teenagers: at and above the threshold, a young person has their own contact and can be emailed directly, so decide deliberately whether a given campaign should reach the teen, the guardian, or both.

How a household connects

Family members are linked through the SGA Member records and a primary / head-of-household designation. This is how HubSpot knows which adult belongs with which child: a child's member record is associated to an adult in the household, and one adult is flagged as the household primary.

The practical result: even though a young child has no contact of their own, their registration can still be connected to an emailable adult in the family through these relationships.

The nuance for program emails

Reaching the guardian from a child's registration currently follows a path through the member record (registration → member → the associated adult contact), rather than the child's registration being linked directly to the guardian's contact.

That matters because HubSpot's marketing lists and workflows generally enroll a contact based on a directly associated deal or line item. So while the relationship exists in the data, a guardian may not be directly enrollable off their child's program registration without a small configuration step.
