SyncSmart is designed so our customers can configure syncs to meet their organization's business goals. Configuring objects, field mappings and filters is simple when using your SyncSmart UI ("User Interface") However, issues can arise and there are some common themes which we review here.
A Record is not syncing
Why did the record not sync? This can happen for a variety of reason. A great place to begin is by reviewing logs in your SyncSmart UI. From there, review the objects and field mappings you are attempting to sync, and determine if any filters are preventing records from Syncing.
A popular filter that governs behavior in syncing is a "Sync to (your CRM)?" property in HubSpot or related field in supported CRMs. This filter becomes another starting point to see if a particular record was eligible to sync. Carefully reviewing workflows that activate or deactivate this field also is beneficial given HubSpot's rich and nuanced support of workflows and what they can accomplish.
Inclusion lists (see knowledge articles here and here for examples) are another way to filter from HubSpot. Reviewing these lists and eligibility criteria for them is a great to see if a particular record is not syncing correctly from HubSpot.
If difficulty continues, contact support and we will assist you in diagnosing and fixing issues.
The SyncSmart integration is down
No records appear to Syncing. This could also be for a variety of reason but again, its beneficial to start with your SyncSmart UI and address the capabilities of your Sync. Again, if there are on-going negative business outcomes, Support will be eager to assist. Support is always eager to assist in these cases as well so please contact us.
Records are taking too long to Sync
Why did the record take so long to sync? In most cases, this will be because a large number of records are involved. Our integration works by comparing changes in records, and HubSpot has many automated changes that affect this. A great way to limit the number of records you wish to sync would be to configure inclusion lists.
In HubSpot to (your CRM) syncs, reviewing workflow logs as well as your SyncSmart login is a great place to start for deeper understanding into sync times. We also recommend reviewing any workflows (which can include delay times to account for the completion of other processes, etc.)
By taking a proactive approach to limiting contacts which changed from a certain date (rather than "all contacts"), you can effectively control bulk record syncs and corresponding sync times.
